Introduction
Project Map is a client portal platform built for custom builders and remodelers. We take privacy seriously — both yours as a builder using our product, and the privacy of your clients whose information lives inside your portal.
This policy explains what data we collect, how we use and protect it, who we share it with, and what your rights are. We’ve tried to write it in plain language. If something isn’t clear, reach out at keaten@dunehomes.com.
1. Who this policy covers
This Privacy Policy applies to two groups of people:
- Builders (you): Contractors, remodelers, and home builders who create a Project Map account and use the platform to manage client projects.
- End clients: Homeowners and other individuals whose information builders enter into their portals.
If you are an end client and have questions about how your builder is using your data within Project Map, you should contact your builder directly. Builders are responsible for how they collect, use, and manage their clients’ information (see Section 8).
2. What data we collect
A. Marketing site (buildprojectmap.com)
When you visit our marketing website, we may collect:
- Demo request form: Name, company name, email address, and number of active projects. This form is processed by Netlify Forms.
- Demo scheduling: If you schedule a demo call, you’ll be redirected to Calendly, which collects the information needed to book the meeting (name, email, time zone). Calendly’s own privacy policy governs that data.
- Basic analytics: We may use basic, privacy-respecting analytics to understand how visitors use the site (e.g., page views, referral sources). We don’t use tracking cookies or behavioral advertising.
B. Builder accounts (app portal)
When you create and use a Project Map account, we collect:
- Account information: Your name, email address, company name, and branding assets (logo, colors).
- Billing information: Payment details are handled entirely by Stripe. We don’t store credit card numbers. Stripe’s privacy policy governs payment data.
C. Your client data (data you enter into your portal)
As a builder, you enter data about your clients and projects into Project Map. This data belongs to you (see Section 5). It may include:
- Client names and contact information (email addresses, phone numbers)
- Project details, scopes of work, and timelines
- Budget and financial information synced from QuickBooks Online
- Uploaded files and documents (contracts, specifications, photos)
- Product selections and allowance tracking
We access this data only as needed to operate and support the platform (for example, to troubleshoot a technical issue at your request).
3. How we use your data
We use the information we collect to:
- Provide, maintain, and improve the Project Map platform
- Set up and manage your account
- Process payments (via Stripe)
- Respond to demo requests and support inquiries
- Send transactional communications (account alerts, billing notices)
- Comply with legal obligations
We do not use your data or your clients’ data for advertising, profiling, or sale to third parties.
4. How we store and protect your data
Your portal data is hosted on Google Cloud Platform (Firebase):
- Database: Google Cloud Firestore — data is encrypted at rest and in transit.
- File storage: Firebase / Google Cloud Storage — files are stored with access controls and encryption at rest.
- Authentication: Firebase Authentication manages login credentials securely.
Google Cloud maintains industry-leading security certifications including SOC 2, ISO 27001, and others. You can learn more at cloud.google.com/security.
The marketing website is hosted by Netlify, which also maintains strong infrastructure security.
We implement reasonable administrative and technical safeguards, but no system is perfectly secure. If you believe your account has been compromised, contact us immediately at keaten@dunehomes.com.
5. Data ownership
You own your data. As a builder, you retain full ownership of:
- Your account information
- All client data you enter into Project Map
- All files, documents, and project records you upload
Project Map doesn’t claim any ownership rights over your data or your clients’ data. We are the custodian of that data — holding it on your behalf — not the owner.
6. Data sharing and third-party services
We don’t sell your data or your clients’ data. Ever.
We share data with third-party service providers only to the extent necessary to operate Project Map:

These providers act as service providers under our direction. They aren’t permitted to use your data for their own purposes beyond what’s needed to provide their services.
We may also disclose data if required by law, court order, or to protect the rights and safety of Project Map, our users, or the public.
7. Data retention and account cancellation
We retain your data for as long as your account is active.
If you cancel your account:
- You’ll have a 30-day window to export your data (projects, client info, documents, etc.) using the export tools in your account settings.
- After the 30-day period, your account data will be permanently deleted from our systems, including from backup storage within a reasonable timeframe.
We strongly encourage you to export any data you need before canceling. Once deletion is complete, we can’t recover it.

8. Builders’ responsibility for client privacy
Project Map provides the platform. You — the builder — are responsible for:
- Obtaining any necessary consent from your clients before entering their information into Project Map
- Being transparent with your clients about what information you’re tracking
- Complying with any applicable privacy laws in your jurisdiction as they relate to your clients’ data
- Using client data only for legitimate business purposes related to their project
We recommend informing your clients that their project information is managed through Project Map and that it is stored securely on Google Cloud infrastructure.
9. Children’s privacy
Project Map is a business tool for construction professionals and isn’t directed at children under the age of 13. We don’t knowingly collect personal information from anyone under 13. If you believe a child under 13 has provided us with personal information, please contact us and we’ll delete it.
10. California residents (CCPA)
If you are a California resident, the California Consumer Privacy Act (CCPA) gives you certain rights regarding your personal information:
- Right to know: You can request information about what personal data we have collected about you and how we use it.
- Right to delete: You can request that we delete your personal data, subject to certain exceptions.
- Right to opt out of sale: We don’t sell personal information, so there is nothing to opt out of.
- Right to non-discrimination: We won’t treat you differently for exercising your privacy rights.
To make a CCPA request, contact us at keaten@dunehomes.com. We’ll respond within 45 days.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will:
- Update the “Last updated” date at the top of this document
- Notify active account holders by email at least 14 days before the change takes effect (for material changes)
Continued use of Project Map after the effective date of a revised policy constitutes acceptance of the updated terms.
